Job Description
The Administrative Officer will support the Programme Lead of the MBChB Unit while assisting the wider team in day-to-day operations. Tasks include student administration, office management, financial administration, and HR support. The role ensures smooth and efficient operations within the unit.
Key Responsibilities
Unit Administration
- Provide executive support to the Programme Lead.
- Disseminate information to students and stakeholders.
- Maintain digital filing systems and office documents.
- Coordinate visitor administration, travel, and accommodation.
- Assist with marketing materials and faculty communication.
- Manage meetings, agendas, minutes, and action items.
- Log maintenance requests and process SUNID/access applications.
Financial Administration
- Handle accounts receivable, expense claims, and purchase requisitions.
- Process invoices, goods receipt notes, and creditor payments.
- Support procurement and D20/ad hoc requisitions.
Human Resources Administration
- Assist with onboarding of new staff and training scheduling.
- Support administration of fixed-term contracts.
Eligibility & Requirements
- Eligibility:
- National Senior Certificate or NQF Level 4 equivalent.
- Minimum 2 years’ experience in office administration.
- Requirements / Preferred:
- Knowledge of university administration policies and procedures.
- Experience in student administration at a tertiary institution.
- Familiarity with SUNFin, SUNScholar, SUNStudent, SUNOnline systems.
- Proficiency in Microsoft Office and administrative systems.
